Sample Answer

Dear Sir/Madam,

I am writing in regard to a fridge I ordered on your website three weeks ago, and the order number being C 97466, dated 20 January 2022. However, I am disappointed that I received something entirely different from what I ordered. (Bullet point1.)

As can be seen from my order, I placed the requirement for a blue-colored refrigerator of of 2000 cc; however, the item I received was a green-colored fridge of 1000 cc. Moreover, it has none of the features I was looking for, such as the position of the freezer. I am a working woman, and as you could guess, a fridge is an indispensable equipment these days. (Bullet point 2.)

To resolve this issue, I would like to receive a free return authorization from your company for the product you sent me in error, and I request you to sent me the item as I have ordered. If it is out of stock, please refund me the the full amount to my credit card. I expect to receive a confirmation letter from your side within three business days. (Bullet point 3)

I am looking forward to hearing from you soon. (Conclusion)

Yours sincerely

Rita Smith
