* Introduce yourself
* Explain the situation
* Say what action you would like the company to take.

(You have to address all the three bullet points to satisfy the Task Achievement).

Model Answer:

Dear Sir/Madam,

My name is William Smith and I am writing  to you regarding a Canon camera I purchased at your supermarket on the 5th of January 2022. (Bullet point 1)

The camera worked well in the shop; however, upon returning home, it was evident that the shutter mechanism was not functioning properly. Moreover, there was a scratch on the lens. Therefore, I returned it to the shop the same day and registered a complaint to the company representative. I was assured that they would look into the matter and get back to me in a few days. ( Bullet point 2.)

However, it has been a week and when I contacted the shop again, I was not given a satisfactory reply. As I  am sure you will understand, it is not acceptable approach and I would like to request that I be given full refund of the item I purchased, should I not receive the repaired item within five days . ( Bullet point 3)

I look forward to hearing from you. ( Conclusion)

Yours sincerely,

William Smith.
